Scheduling
Resources
Aircraft, instructors, simulators and rooms are all bookable resources. Each has its own availability, and each can be marked unavailable or down for maintenance.
Appointment types
Rental, dual instruction, solo rental, ground instruction, discovery flight, flight review, instrument proficiency check, checkout, check ride, maintenance block and administrative block.
Booking rules
Choose whether bookings are confirmed immediately or need approval. Either way, the schedule refuses a clash: an aircraft or instructor already booked, or unavailable, cannot be taken twice.
Views
Daily dispatch, weekly and monthly calendars, and filtered views by aircraft, by instructor, by pilot, plus pending requests and maintenance blocks.
Time zone
Everything is shown in your organization's time zone, so a booking means the same thing to the dispatcher, the instructor and the pilot.
Tying bookings to flights
A reservation can be linked to the logbook entry for the flight that resulted, keeping what was planned and what happened together.
Cancellations
A cancelled booking records who cancelled it and when, rather than vanishing.
Scheduled Go/No-Go briefings
For recurring missions — a daily charter leg, a morning training run — managers can set up scheduled briefings on the Organization dashboard. Log Scan Pro builds a fresh Go/No-Go report for each flight and emails it to the chosen crew, so pilots arrive already briefed.
Each schedule holds:
- Aircraft from your organization's fleet. Fuel endurance fills in from the aircraft's saved figures or its model's published values, and stays editable.
- Route — departure and destination airports and up to three waypoints, picked the same way as on the Go/No-Go form. Altitude, fuel and flight-rules choices use the same lists as the form.
- Days of the week and departure time, in the organization's local time.
- US holidays to skip — pick the ones your operation doesn't fly. A skipped flight is recorded once in the history.
- Recipients from your organization's contact list (add, edit and delete contacts; addresses are checked). Pick individuals or Send to all, up to 10 per schedule.
- Pause switch to stop a schedule without deleting it.
One briefing or three
Briefings per flight offers one briefing at a set time, or three reports counted back from departure — Initial Planning, Updated Conditions and Final Preflight. Three-briefing timing uses the same timeline and sliders as Critical Briefing Package: 12, 6 and 2 hours before departure by default, adjustable in 30-minute steps, and the order cannot cross. A preview shows the next departure and the exact day and time each briefing will go out — a briefing may fall on the day before departure.
A late-night departure's return the next morning is its own flight: set it up as a separate schedule.
Delivery and history
Each email names which briefing it is and carries a secure share link to the full report — recipients never get account access. If a briefing time was missed, only the newest one due is sent, since it has the freshest data; nothing is sent after departure. Every run appears in the schedule's history with its briefing label and a View report link.
