Log Scan Pro — The Smart Pilot's Logbook

Spreadsheet import

Managers open Spreadsheet import on the organization dashboard and choose the location receiving the records. Export your old system's data as CSV; a proprietary backup is not a CSV import.

Preview before saving

  1. Choose the Records type: aircraft, instructors, pilots or reservations.
  2. Download Blank template, or use an existing CSV no larger than 2 MB. For pilot or reservation rows, Pilot IDs downloads identifiers for approved pilots already linked to this school.
  3. Choose the CSV file. Map each required field to its source column using the drop-downs; leave unused optional fields Not mapped.
  4. Choose Preview & check. Read each row's result: ready, duplicate or blocked, with a reason. Preview does not save school records.
  5. Untick any ready rows you do not want, then choose Save selected records. Conflicts and availability are checked again when saving; a ready preview is not a guarantee if the schedule has changed.
  6. Review the final saved/skipped/blocked counts. Download Save results, or retrieve a run from Recent imports later.

What is deliberately not imported

  • Existing aircraft ownership is preserved. Imported aircraft are left unavailable for operational review before booking.
  • Exact instructor identities are reused where possible. Importing an instructor does not create a login or a second personal record.
  • Pilot imports add school notes only for approved pilot links; they do not create accounts or import private logbooks.
  • Upcoming reservations must satisfy current resource conflicts, grounding and applicable qualification checks. Imported rows cannot bypass those safeguards.
Fix blocked rows in the source CSV and preview again. Records that were saved remain saved even if another row failed; use the retained per-row results rather than repeatedly importing the whole file blindly.
