Courses and ground school
Everything about courses lives on the Courses page — creating them, approving enrollments and posting classes.
Creating a course
Only the basics are required: title, track (private, instrument or commercial), start date, meeting times, location and cost. Everything else sits under More details (optional). The course is created as a draft; one click publishes it and connected students see it.
Where to create it
A course created under the school is visible to every pilot connected to that school. A course created under you personally is visible only to pilots connected directly to you. School classes should be created at the school level.
Enrollment
Pilots request enrollment from their Upcoming Courses page. You approve requests on the Courses page. Approving also switches the matching ground school track on for that pilot automatically.
Class outlines — telling students what is coming
Before a class, publish a class outline: a date, a title and the subjects you intend to cover. Everyone approved on that course sees it on their Upcoming Courses page — including people who enroll later, automatically — and a notice goes to their bell.
Premium students also get pointed at the study plan for those subjects, and each planned subject is framed on their Milestones page with an Upcoming class badge and the date.
An outline is communication, not credit. Nothing is written to a logbook until you post the class.
Posting a class
Post a class session starts with the course, and the course is required. Choosing it sets everything else:
- The subject list — that course's track only, so two courses running at once can never be confused.
- The attendance list — the course's approved enrollment, pre-ticked, with Select all and Clear all.
- The progress line — "12 of 34 subjects covered", with subjects earlier sessions already covered marked covered <date>. They can still be ticked again for a make-up class or a student who joined late; credit is per student, so nobody is credited twice.
Pick the date and the ground time, confirm who attended and which subjects you covered, and post. That single action writes a ground instruction entry into each attending student's logbook and credits those subjects on their Milestones with your school's name.
Notify enrolled students is ticked by default and sends a bell announcement with the date, the hours and the subjects covered.
Reversing a class
Reverse removes exactly the logbook row and the subject credits that class created for that student. Nothing else is affected, and those subjects go back into play for a future session.
Unpublishing, cancelling and deleting a course
- Unpublish hides the course from pilot-facing lists. Enrolled students stay enrolled and every logbook entry and subject credit already posted stays theirs. Publish it again and it reappears.
- Cancel class is for a class called off before or during the run — not enough enrollment, an instructor no longer available. You type the reason; everyone enrolled, including people whose request is still pending, gets a bell notice naming the reason and asking them to enroll in an upcoming class. You can re-publish later if it comes back.
- Delete course removes a course along with its enrollments, outlines and notices. It asks twice, and if class sessions have already been posted it tells you how many and warns that those logbook entries and milestone credits go with it. Sessions posted by a different instructor block deletion — reverse those first, or simply unpublish.
Free tracking, optional premium
Posting classes and reporting subjects costs nothing, for you or the school. If a student has bought Ground School Premium, their Instructor tab in Milestones opens your grading tools: a five-level grade per subject, comments, and the signed Ready for the FAA knowledge test record. Grading is only available on tracks the student has purchased — the database enforces it, so you can never accidentally grade a free track.
